Probate and Trust Paralegal
A boutique law firm specializing in advising high-wealth individuals and closely-held business owners in tax, business and estate planning and post-mortem administration, is seeking an entry-level/early-experience probate and trust paralegal.
Responsibilities will include:
- Work on complex probate and trust administrations, from initial petition through final distribution
- Coordinate asset valuation, document preparation, and asset allocation/distribution
- Review and prepare estate and gift tax returns
- Review and prepare of fiduciary accountings
- Organize and maintain files
- Draft petitions, orders, and other pleadings related to probate and trust administration
- Prepare deeds and related real estate documents
- Form and fund legal entities
Qualifications:
- 5+ years of experience in trust and estate matters
- Capable of learning to manage advanced trust and estate paralegal tasks with minimal supervision
- Self-motivated with the ability to act independently
- Possess critical thinking skills
- Possess excellent oral and written communication skills
- Advanced knowledge of Word, Excel, Outlook, stock valuation, tax preparation, time entry, and other programs applicable to handling trust and estate matters
- Knowledge of local court procedures
- Time management
- Organizational skills
- Deadline management
- Paralegal certificate from an ABA accredited school required
- Bachelor’s degree or equivalent work experience preferred

Job Overview
Ramsbacher Prokey Leonard LLP is looking for an experienced, reliable, trustworthy administrative assistant who will be responsible for managing day-to-day administrative tasks supporting attorneys and paralegals. The ideal candidate is self-motivated, professional, team-oriented, and has a demonstrated track record of prioritizing tasks in a fast-paced environment. The ideal candidate will thrive in an ever-changing environment and excels in bringing order to situations.
Success in this role is being able to remain focused on business-critical tasks, while ensuring deadlines and goals are dealt with on time.
The key responsibilities of this role include, but are not limited to:
- Maintain confidentiality and professionalism continuously
- Juggle a high volume of critical tasks and prioritize administrative duties
- Manage and coordinate calendars, meetings, and travel of attorneys/paralegals
- Anticipate obstacles and creatively/strategically provide solutions
- Approach challenges with a solutions-minded perspective
- Perform successfully in high pressure situations with strict deadlines
- Possess professional phone etiquette
- Craft, proofread, and/or edit correspondence on behalf of the firm
- Handle a variety of ad hoc requests by researching information and conducting analyses
- Partner with other members of the administration staff including but not limited to Business Operations and People Operations across the firm on various projects
- Manage, prioritize, and respond to routine email, standard mail, and other incoming requests as needed
- Maintain file and record retention
Qualifications
- 3 - 5 years of experience in a law office, preferred
- 5-7 years administrative experience; preferred
- Bachelor’s degree or equivalent experience required
- Ability to work independently and collaboratively as part of a team
- Maintain composure and calm demeanor in variety of challenging situations
- Possess high level of interpersonal skills to handle sensitive and confidential situations
- Interact and communicate with individuals at all levels of the firm
- Demonstrate high level of proficiency with MS Office
- Flexibility for overtime when needed
- Willingness and flexibility to step in and assist other administrative staff when needed
- Strong attention to detail and organizational skills
- Fast learner
